TFD Booking Manager
The Flight Deck is seeking a BOOKING MANAGER to manage space rentals, marketing, and artist & audience relations at The Flight Deck. The person in this position is a key player in maintaining and promoting an important, accessible shared cultural space in the heart of downtown Oakland and making sure that it fulfills its mission while remaining in financial and operational health.
We are seeking a motivated professional to join our small but mighty team. The ideal candidate has deep roots in the Oakland arts community, is passionate about the success of the local arts ecosystem, and works from an equity lens. We are looking for a creative systems thinker who can both see the big picture and keep track of details. The ideal candidate has strong collaboration and communication skills as well as strong organizational and administrative skills, and is on a career path of cultural management and leadership.
Type of position: Negotiable (Part-time, Independent Contractor, etc.)
Schedule: 15-25 hours/week, flexible
Pay: hourly DOE
Reports to: Executive Director

Job Responsibilities:
- Booking:
- Manage rentals pipeline
- Respond to all rental related email and phone inquiries
- Schedule tours of the space for potential renters or members
- Schedule the Flight Deck Theater, Rehearsal Studio, Office and Gallery
- Manage, review and analyze space calendars; maintain a thorough understanding of schedule to avoid any possible conflicts
- Execute and implement all space use contracts & issue invoices
- Advise clients and vendors of Flight Deck policies and procedures. Ensure compliance of rental policies
- Manage all documentation regarding space use (ie. insurance)
- Create and maintain systems, records and databases related to rentals (ie. vendini,
google apps, physical/digital files)
- Marketing and Branding:
- Maintain The Flight Deck website, both for content and design
- Create and send a monthly TFD e-blast
- Maintain TFD’s mailing list
- Manage TFD’s social media presence
- Post on and manage marketing through third party platforms (ie. Peerspace, Spaces for Good, etc.)
- Execute a marketing strategy for the Hangar corporate events program
- Production Management:
- Support the space needs of Theater rentals
- Coordinate with Technical Director on space usage and equipment rentals to make sure that all technical details are in place for each event
- Manage alarm system access to the space, including distributing access codes
- Collect and manage audience surveys and data
- Relationships and Programs:
- Manage Host company Ragged Wing Ensemble’s space needs
- Manage Resident Company negotiations, contracts and space needs
- Manage co-production negotiations, contracts and space needs
- Manage rollout of new member & vendor program, as determined relevant
Skills & Experience needed
- 3-5 years of event production and/or venue management experience
- 1-2 years of sales and/or marketing experience
- Strong computer aptitude; proficiency in Google Apps, web platforms, databases & social media
- Strong marketing skills: basic visual design, content creation, digital platform literacy
- Strong administrative skills and attention to detail
- Strong writing skills
- Basic technical theater knowledge
- Ability to work efficiently in a high-paced, creative environment, manage multiple tasks and deadlines
- Collaborative working style with the ability to foster positive working relationships with diverse groups; diplomacy, integrity, and ability to negotiate to find solutions
- A “get it done” spirit and creative problem solver at heart

Arts Administration Internship 2018/19 Season
The Flight Deck and Ragged Wing Ensemble are searching for interns to assist with day to day operations at their downtown Oakland space located at 1540 Broadway. The interns will gain valuable experience working in a vibrant non-profit theatre. Tasks may include audience outreach, database management, company management support, production assistance, and day to day help around the office. Approximately 8-20 hours per week. Hours vary based on interns’ availability and the needs of the organization.
Qualifications:
The Flight Deck is a collaborative arts space and performance venue in Downtown Oakland that features a lobby/gallery, black box theater, rehearsal studio, and co-working office for arts organizations and individuals. The Flight Deck hosts performances of all types, gallery shows, rehearsals, classes for youth and adults, and a membership program. The Flight Deck was created and is managed by host company Ragged Wing Ensemble, and is home to several other arts organizations and individual artists. The Flight Deck has hosted hundreds of performances, rehearsals, classes, meetings and special events and The East Bay Express named The Flight Deck the “Best New Arts Venue” in the East Bay in both 2014 and 2015.

This is an unpaid internship, however the intern may be permitted complimentary use of the rehearsal studio when it's available.

The interns will gain valuable experience working in a vibrant non-profit theatre. Tasks may include audience outreach, database management, company management support, production assistance, and day to day help around the office. Approximately 8-20 hours per week. Hours vary based on interns’ availability and the needs of the organization.
Qualifications:
- Some college preferred.
- Must have strong oral and written communications skills, and be able to work effectively and build relationships with staff and the public.
- Strong collaborative instincts.
- Has experience using Office applications – Word, Excel, Powerpoint
- Basic/Working knowledge of social media
- Can organize with the ability to prioritize work and exercise independent judgment, wisdom, and initiative.
- Thoroughly carry out oral and written instructions.
- Interest in arts administration and/or venue management
- Can commit to 1+ semester or 3+ months
